The Role – In a Nutshell
Our teams move fast across operations, logistics, finance, and creative. To keep this engine running smoothly, we’re looking for a dependable Office Administrator who thrives on structure, ownership, and disciplined execution.
You will anchor day-to-day administration — ensuring facilities operate seamlessly, vendors stay aligned, and internal teams receive timely support.
TL;DR: You ensure the workplace runs like clockwork — every day, without noise.
Key Responsibilities
  • Manage front desk operations: visitors, calls, courier logs, and meeting room scheduling.
  • Oversee facility upkeep, repairs, AMC tracking, utility payments, pantry and hygiene standards.
  • Handle office procurement, inventory tracking, ID cards, access control, and asset tagging.
  • Manage vendor sourcing, rate negotiations, PO creation, invoice reconciliation, and SLA compliance.
  • Coordinate travel bookings, stay arrangements, and internal events/offsites.
  • Maintain contracts, licenses, renewal trackers, fire drill coordination, and first-aid readiness.
  • Support new joiner setup, seating coordination, petty cash management, and monthly MIS reporting.
You're Our Person If…
  • You bring 2–5 years of admin or facilities experience in a fast-paced environment.
  • You are hands-on with Excel/Google Sheets and tracking systems.
  • You negotiate effectively, resolve vendor issues promptly, and take ownership proactively.
  • You maintain high standards of discipline, cleanliness, and workplace presentation.
  • You communicate confidently in English and Hindi (Bengali is an added advantage).
Skills & Competencies
  • Operational Ownership: End-to-end accountability without supervision.
  • Vendor & Stakeholder Management: Strong coordination and SLA management skills.
  • Process & Compliance Discipline: Structured documentation and adherence to SOPs and EHS norms.
  • Attention to Detail: Precision in upkeep, documentation, and financial tracking.
  • Problem-Solving & Agility: Calm, quick decision-making in dynamic situations.
  • Technical Proficiency: Working knowledge of MS Excel/Google Sheets, email and calendar tools, exposure to access control/CCTV systems, basic IT coordination, and tracker management.

Preference: Candidates with an ex-servicemen background who have handled similar administrative or facilities roles will be given preference, given the alignment with discipline, structure, and operational ownership required for this position.
